Practice Manager

The Practice Manager is responsible for coordinating all clinic operations aspects of the practice. The Practice Manager is expected to maximize effectiveness of all service delivery systems including front and back office, provider templates, financial performance, and cultivation of a practice culture responsive to the health care environment. The Practice Manager works in partnership with the Medical Leads of the practices they manage.

Duties and Responsibilities

Core Duties

Management of Clinic Operations

  • Direct and supervise clinical staff and take part in planning, implementation, monitoring and evaluation of patient care according to pre-defined structure, process and outcome standards.
  • Ensure that patient care staff's practice meet both safety/risk management standards and legal/regulatory requirements.
  • Oversee and evaluate scheduling based on staffing, individual patient care plans, and acuity and team goals.
  • In conjunction with other clinical leadership, coordinate patient and clinic flow.
  • Evaluate performance of assigned staff in meeting productivity and quality standards.
  • Demonstrate expertise in symptom management and apply broad clinical knowledge base when assessing patient situations and communicating to all team members when developing plan of care.
  • At least quarterly, oversee the review of nursing, medical assistant, and scribe work to ensure that productivity standards are met, expected outcomes are achieved, and any necessary adjustments are made to goals and / or plans.
  • Meet regularly with Team to develop teamwork, problem solve issues, and work on clinical improvements and efficiencies.
  • Provide professional support and exchange feedback aimed toward enhancing professional growth. Ensure safe and effective patient care.
  • Collaborate with physicians and other health care providers as necessary.
  • In collaboration with other clinical leadership, incumbent develops a work culture that reflects a patient focused environment.
  • Develops and implements a dynamic and efficient clinic infrastructure.

Management of Administrative Operations

  • Administers established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
  • Maintains provider capacity utilizing the empanelment process and guidelines set forth
  • Reviews invoices, statements, receipts and charges for Clinical Operations and approves expenditures.
  • Answers patient calls and other correspondence as appropriate.
  • Review and research complaints to assist patients and visitors with complaint resolution.

Program Management

  • In collaboration with Clinical Operations Leadership, develop and implement an effective system designed to support safety, clinic efficiency, compassionate patient care, and a professional work environment for clinic staff.
  • Use a pro-active approach in identifying and evaluating programmatic issues, informs the One Community Health Clinical Operations leadership team of potential programmatic issues.
  • Hold, chair, attend and participates on committees, task forces and meeting for coordination/facilitation of health activities at the program level.
  • Facilitate communication between clinic staff, physicians, agency staff and management. Represents the One Community Health Clinic in the community as appropriate.
  • Plan for, design and manages directly and via delegation, systems/programs for meeting clinic program level objectives.
  • Periodically audits patient charts for accurate documentation and compliance with standardized workflows.

Personnel Administration

  • Support and demonstrate a process that assures optimal personnel practices and productivity with an emphasis on development and training. Ensure the availability of staff in support of the medical team.
  • Maintains accurate records pertaining to staff schedules including development and maintenance of scheduling templates for all providers.
  • Encourage professional development for staff to enhance performance and career growth through the utilization of available development opportunities and goal setting. Optimize utilization and motivation of human resources. Access technical and professional knowledge/education necessary for individual staff members to achieve the highest level of excellence for their position. Create needed education and training opportunities for staff. Ensure that clinical staff meet current certification and licensures requirements.
  • Values cultural diversity and other individual differences in the workforce, creating a culture of compassion and sensitivity.
  • Assesses current and future staffing needs based on organizational goals.
  • Plans, coordinates and directs staff to meet clinical, administrative, and operational support requirements.

Business Functions

  • Provides centralized control, coordination and management of the financial operational budget for the Department. Contributes to annual budget proposal. Identifies budget variances and identifies plan of correction or rationale as appropriate.
  • Monitors all financial expenditures in the clinic.
  • Identifies and implements cost-effective approaches while maintaining high standards for clinical care.
  • Analyzes fiscal performance to identify strategies to maximize revenue while optimizing efficiency.

Planning

  • Collaborates with clinical operational planning including programs, personnel, space and financial resources.
  • Develop projections for patient capacity and necessary resources to provide quality patient care.

Additional Duties

  • Participates in work groups, teams, task forces and committees to support ongoing clinic functions, provide input and resolve ad hoc issues. Foster communication and coordination within the clinic and outside agencies by establishing good rapport and professional working relationships with others to facilitate the delivery of services to patient.
  • Continuous Quality Improvement: Participate in developing systems for incident/problem identification, appropriate resolution and feedback process. Develop and recommend improvements to process in all areas of responsibility.
  • Order or direct ordering of drugs, solutions, and equipment and maintain accurate controls and records for narcotic medications. Maintains or arranges for maintenance of emergency drugs and equipment in ready-to-use order and performs periodic checks as appropriate.
  • Ensure that clinic staff maintains observance of universal precautions.
  • Foster communication and coordination within the clinic and with outside agencies by establishing good rapport and professional working relationships with others to facilitate the delivery of services to the patient.
  • Participate in developing systems for incident/problem identification and appropriate resolution.
  • Review and research complaints to assist patients and visitors with complaint resolution.
  • Develop, analyze and implement systems to enhance the patient experience within the clinic.
  • This position is responsible for reporting suspicion of child, adult (including spouses), elder, and dependent adult abuse as outlined in Penal Code, Section 11166, Section 15630, and Section 1160.
  • Will be available on short notice or during after-hours to answer calls/texts via personal cell phone.
  • Other duties as assigned.

Supervisory Responsible

Directly supervises: The Practice Manager directly or indirectly supervises non-provider staff associated with support of clinic operations. Positions include but are not limited to Medical Assistants, Medical Scribes, LVNs, RNs, Patient Service Reps, Provider Template Coordinators, and Team Clerks. Higher level managers may have supervisors of teams.

Minimum Requirements

  • At least 2 years previous leadership/supervisory experience required
  • Previous primary care / ambulatory care / FQHC leadership experience preferred
  • 4 years' experience in a medical office environment as a medical assistant, nurse, or other clinic operations role; or equivalent combination of education and experience.
  • Basic Life Support for the healthcare professional required.
  • Current Driver's License in good standing, required.
  • Current Registered Nurse/ Licensed Vocational Nurse desirable.
  • Bachelor's degree in healthcare, business, or related subject preferred; or equivalent work experience.

Preferred Background

  • Medical Assistant certification from accredited college or technical school.
